Refunds and cancellations

Eligibility

Refunds apply to fees paid for professional engagements described on this site. The website itself does not sell physical goods or software licences.

Cooling-off for distance contracts

Where a consumer distance contract applies under United Kingdom law, you may cancel within 14 days of agreeing the engagement if work has not started. If you ask us to begin within that period, you may owe a proportionate amount for work already performed.

Deposits

Full mapping engagements typically require a 40% deposit to reserve workshop dates. Deposits are refundable in full if we cancel. If you cancel more than 14 days before the first scheduled workshop, we refund the deposit minus any non-recoverable travel already booked with your written approval. Cancellations within 14 days of the first workshop forfeit the deposit unless we can reassign the dates.

Full and partial refunds

• Full refund: we cancel an engagement and no deliverable has been issued.
• Partial refund: work has started (interviews completed or drafts shared). We invoice for completed stages and refund the unused balance.
• No refund: the final handoff pack has been delivered and accepted, or the balance due after deposit reflects completed facilitation.

Non-refundable items

Pre-approved third-party costs such as venue hire or long-distance travel booked at your request are non-refundable once incurred. Time already spent on discovery interviews and draft maps is charged at the staged rates in your statement of work.

Rescheduling and no-shows

You may reschedule once without fee when you give at least seven days’ notice. Later changes may incur a rescheduling fee of £150 to cover facilitation prep. If key stakeholders do not attend a booked workshop without notice, that session counts as delivered for scheduling purposes; a replacement session is quoted separately.

Work already started

Once interviews or drafting have begun, cancellation triggers a partial invoice for completed stages listed in the statement of work. Materials produced to that point remain available to you after payment of the partial invoice.

Refund process and timing

Email contact@system-sequoiapath.click with your organisation name, invoice number, and reason. We confirm eligibility within five working days. Approved refunds are returned by the original payment method within 14 working days of approval.
